6 n8n Xero Workflows for Australian Small Businesses (Free JSON)

Six n8n Xero workflows for Australian small businesses, with free importable JSON: overdue digests, ABN Lookup checks, CRM-to-draft-invoice, AI-drafted follow-ups and accounts inbox triage. Drafts, not auto-sends.

6 n8n Xero Workflows for Australian Small Businesses (Free JSON)

These six n8n Xero workflows deal with the boring half of getting paid: knowing who owes you, checking new customers' ABNs, turning won deals into draft invoices, and sorting the replies that land in your accounts inbox. Each one comes as importable JSON you can load into n8n today. None of them sends money anywhere, and none of them emails a customer without a person reading it first.

Most Australian small businesses don't have a revenue problem so much as a "we did the work in August and still haven't been paid" problem. The work is done. The invoice is out. Then it sits there, and the person who's meant to chase it is also the person quoting, doing the job and answering the phone.

Software can't make customers pay. It can make sure nothing slips through, and that chasing takes minutes instead of an afternoon. That's what this pack is for. It's the first n8n pack in our Monday series (the other weeks are open-source tool shortlists).

How we pick

Every workflow had to pass all six:

  1. Useful in under a day. An owner or bookkeeper can import it, connect accounts and see it working the same day.
  2. Free to start, clear licence. n8n is "fair-code" under its own Sustainable Use Licence, not an OSI open-source licence. Self-hosting it for your own business is free; reselling n8n as a hosted service isn't allowed. Xero's API is free on its Starter tier for up to five connections.
  3. Maintained in the last six months. n8n shipped version 2.44.6 on 22 October 2026 (Sydney time) and puts out releases most weeks. Every node we use is a core node.
  4. A concrete Aussie scenario. Xero, Gmail, Google Sheets, a CRM, ABN Lookup.
  5. Security and privacy check. No community packages, no secrets in the JSON, webhooks and forms behind authentication, and anything customer-facing stops at a draft.
  6. No hype, no shortcuts. No scraping, no unofficial APIs, no access you don't legitimately have.

What we rejected

  • Fully automatic, AI-written reminder emails. Easy to build and a bad idea. One wrong tone to a long-standing customer costs more than a late invoice. Ours saves drafts.
  • MYOB community nodes. n8n has no built-in MYOB node. We won't hand an unreviewed community package OAuth access to a client's books. On MYOB, use the HTTP Request node and MYOB's own API.
  • Auto-reconciling Stripe or bank payments into Xero. Bank feeds and Xero's own Stripe connection already do this. A second path that marks invoices paid is how you end up with double-counted receipts and a very confused BAS.
  • Scraping ABN Lookup pages. The ABR offers a free, official web service. Use it.
  • "AI debt collector" agents. Anything that escalates on its own is a reputational risk, and debt collection conduct is regulated (the ACCC and ASIC publish a joint guideline). Keep a human on that job.

Before you import: the setup most n8n Xero workflows need

You'll need a running n8n (n8n Cloud, or self-hosted on a VPS or in Docker). Then:

  • Xero OAuth2 credential. Create an app at developer.xero.com, paste the client ID and secret into n8n's Xero OAuth2 credential, and connect. After import, pick your organisation in every Xero node's "Organization" dropdown. We left it blank on purpose.
  • Gmail OAuth2 and Google Sheets OAuth2 where used.
  • An OpenAI API credential for the two AI workflows, or swap in a model hosted in Australia (more on that below).
  • Replace you@yourbusiness.com.au with your address, and PASTE_YOUR_GOOGLE_SHEET_ID with a real sheet ID.

Each workflow's timezone is Australia/Sydney. In Perth or Brisbane, change it in Workflow settings.

How we tested. We imported all six files into n8n 2.44.6 with n8n import:workflow, checked every node type, version and parameter against that release's node definitions, and ran each Code node's logic against sample Xero data. We have not run them against a live Xero organisation, Gmail account or OpenAI key, so treat them as syntax-validated starting points and test them on the Xero Demo Company first.

1. Morning overdue invoice digest

The scenario. A café group in Manly or a physio in Chatswood has 40 open invoices. Xero knows which are late. Nobody opens the Aged Receivables report until the accountant asks.

What it saves. Logging in and running the report. You get one email at 7:30am on weekdays listing every overdue sales invoice, oldest first, with the total outstanding. If nothing's overdue, it says so.

Nodes and credentials. Schedule Trigger, Xero (Get Many invoices), Code, Gmail. Credentials: Xero OAuth2, Gmail OAuth2.

Setup. Import, pick your Xero organisation, set your email address, run it once by hand.

Our take. This is the one to start with, because it can't upset anyone. It reads from Xero and emails you. That's it. Caveat: it fetches every authorised sales invoice. With thousands open, add a date filter to the Xero node's "Where" option.

Xero already has built-in invoice reminders that email customers on a schedule. Turn those on first. This digest is for you.

2. ABN check before a new customer goes into Xero

The scenario. Someone types a new customer's ABN into Xero with a digit swapped, or for a business that cancelled its ABN two years ago. You find out when their bookkeeper rejects the invoice.

What it saves. Looking ABNs up by hand and fixing wrong ones later. Your team fills in an internal form; the workflow checks the ATO's checksum first, then asks the Australian Business Register whether the ABN is active and whether it's registered for GST. Only active ABNs become Xero contacts. Everything else comes to you with the reason.

Nodes and credentials. n8n Form Trigger (behind basic auth), Code, If, HTTP Request, Xero, Gmail.

Setup. The ABN Lookup web service is free but needs a GUID. Register for one on abr.business.gov.au (look for "Web services registration"). In n8n, create a "Query Auth" credential with the name guid and your GUID as the value, and attach it to the HTTP Request node. That keeps the GUID out of the workflow file. Set a username and password on the form trigger before you share the link with your team.

Our take. Small, dull and worth having. The confirmation email spells out the GST registration date, because a customer who isn't registered changes what goes on their invoices. Caveats: Xero rejects duplicate contact names, so duplicates fail (which is what you want), and this proves the business exists, not that the person in front of you works there.

3. Won deal in your CRM becomes a draft invoice in Xero

The scenario. A deal moves to "Won" in HubSpot or Pipedrive. Someone has to remember to raise the invoice. Sometimes that's a week later.

What it saves. Re-typing deal details. Your CRM calls an n8n webhook, the workflow finds the matching Xero contact, and it creates a DRAFT sales invoice with GST on income, amounts exclusive of GST. It never approves or sends it.

Nodes and credentials. Webhook (header auth), Code, If, Xero (contact lookup and invoice create), Gmail, Respond to Webhook. Credentials: Header Auth, Xero OAuth2, Gmail OAuth2.

Setup. Create a Header Auth credential in n8n (for example a header called X-Webhook-Key with a long random value) and set your CRM to send the same header. The workflow expects customerName, dealName, amountExGst and dealId. Check the account code (we used 200, Xero's default Sales account) and the tax type (OUTPUT is GST on Income in Australian Xero files).

Our take. The draft status is the point. A wrong draft costs a minute. A wrong authorised invoice costs a credit note and an awkward email. The contact match is by exact name, which is fragile. If "Harbour Physio" in your CRM is "Harbour Physio Pty Ltd" in Xero, you get an email instead of an invoice. Safe, but annoying. Better: store the Xero ContactID in a CRM field and match on that. We also cap amounts at $100,000 as a sanity check. Raise it if your deals are bigger.

4. AI-drafted follow-ups for invoices 30+ days overdue

The scenario. Past 30 days, Xero's reminder has gone out twice, and now it needs a human note. Nobody wants to write fifteen.

What it saves. Writing the first draft. Every Tuesday at 9am the workflow finds sales invoices more than 30 days overdue (capped at 15 per run), looks up each customer's email in Xero, asks a language model for a short, polite follow-up, and saves it as a Gmail draft. You read, edit and send.

Nodes and credentials. Schedule Trigger, Xero, Code, If, Basic LLM Chain, OpenAI Chat Model, Gmail (draft). Credentials: Xero OAuth2, OpenAI, Gmail OAuth2.

Setup. Import, connect credentials, pick the organisation in both Xero nodes. Edit the system prompt so it sounds like you. It's told to stay under 120 words, quote invoice details exactly, offer a resend or payment plan, and never threaten or mention fees.

Our take. AI helps here, and can also embarrass you. A model writing to a ten-year customer doesn't know you went to their wedding. So it drafts, and you send. Two privacy points. Customer names and amounts go to the model provider. If that's offshore, it's a cross-border disclosure under Australian Privacy Principle 8, so mention it in your privacy policy, or swap the OpenAI node for an Azure OpenAI or AWS Bedrock model in an Australian region. And Xero's developer terms say data from its API can't be used to train AI models, so use a provider and plan that doesn't train on your API data.

5. Paid invoices into a Google Sheets cash log

The scenario. A Parramatta trade supplier wants to see what came in yesterday and how long customers took to pay, without another dashboard login.

What it saves. Pulling numbers by hand. At 6am each day the workflow asks Xero for recently paid sales invoices, keeps the ones fully paid yesterday (Sydney time), and appends a row per invoice to a Google Sheet: date, invoice, customer, total, GST, and days from invoice to payment.

Nodes and credentials. Schedule Trigger, Xero, Code, Google Sheets. Credentials: Xero OAuth2, Google Sheets OAuth2.

Setup. Create a sheet with headers in row 1: Paid on, Invoice, Customer, Total inc GST, GST, Days to pay. Paste its ID into the Sheets node.

Our take. "Days to pay" by customer is the most useful number most small businesses never look at. In a couple of months you'll know who needs a deposit next time. Limits: it reads the 100 most recently updated paid invoices, which is plenty for most, and it records invoices, not bank deposits. Bank reconciliation in Xero is still the source of truth.

6. AI sorts the replies in your accounts inbox

The scenario. Replies to invoices pile up in accounts@. "Paid Friday, remittance attached." "Can we split this into two?" "This isn't our invoice." The dispute is the one that matters, and it's buried under the remittances.

What it saves. Reading everything to find the one that matters. Every 10 minutes, new invoice-related emails are classified into Remittance, Promise to pay, Dispute or query, or Other, logged to a Google Sheet, and disputes trigger an alert to you straight away.

Nodes and credentials. Gmail Trigger, Text Classifier, OpenAI Chat Model, Edit Fields (Set), Google Sheets, Gmail. Credentials: Gmail OAuth2, OpenAI, Google Sheets OAuth2.

Setup. Connect the Gmail account that receives invoice replies. Adjust the search filter if your subject lines differ. Create a sheet with Category, Received, From and Subject headers.

Our take. Classification is a good job for a small model: narrow, checkable and cheap to get wrong. We only send the subject and the first 3,000 characters, and the prompt tells the model to treat the email as data, not instructions. That doesn't make prompt injection impossible, which is exactly why this workflow can only label and alert. It can't reply, forward or touch Xero. The APP 8 point from workflow 4 applies here too. If you want to go further and automate supplier bills too, our Xero invoice OCR template covers the payables side.

What to automate first (our opinion)

Start with workflow 1. It reads, it emails you, and it can't hurt anyone. Run it for a fortnight. If the list surprises you, that's a process problem automation won't fix on its own.

Then do workflow 2 or 3, depending on where your errors come from: bad customer data or forgotten invoices. Leave the AI ones until the plain ones run cleanly. AI on a flaky Xero connection just gives you confident mistakes.

If you'd rather have customer-facing reminders run from n8n instead of Xero's built-in ones, we keep a separate Xero overdue invoice reminders template for that. And if you're wondering how far automation should go across the rest of the business, our business automation page explains how we scope it for clients.

A word on security, since it's our thing. Every workflow here uses a credential that can read your books, and three can write to them. Give the Xero app only the scopes it needs, keep n8n behind a login and off the open internet where you can, keep execution logs so you can see what ran, and review access quarterly. We covered the wider version of this in our open-source AI security tools list.

FAQ

1Is n8n free for Australian small businesses?

Self-hosting n8n for your own business is free under its Sustainable Use Licence, a fair-code licence rather than a traditional open-source one. You can't resell n8n as a hosted service. n8n Cloud is a paid option if you'd rather not run a server.

2Does n8n have a Xero integration?

Yes. n8n's built-in Xero node can create, get, list and update contacts and invoices over OAuth2. For anything else, call the Xero API from the HTTP Request node.

3Do I need a GUID to use the ABN Lookup API?

Yes. ABN Lookup web services are free but need a GUID from abr.business.gov.au. Store it as an n8n credential, not in the workflow.

4Is it safe to send Xero data to an AI model?

With care. Sending customer data to an overseas AI provider is a cross-border disclosure under APP 8, and Xero's developer terms ban using its API data to train AI models. Pick a provider that doesn't train on API data, consider an Australian-hosted model, and keep a human approving anything customers see.

5Do these workflows work with MYOB?

Not as written. n8n has no built-in MYOB node, so you'd replace the Xero nodes with HTTP Request calls to MYOB's API. The logic carries over.

Want these running properly in your business?

We put AI agents and automations to work inside Australian businesses, and we show you the controls that make them safe to keep. For this pack, that means setting up n8n, connecting Xero with tight permissions, adapting the workflows to how you invoice, and testing on the demo company first.

Whether you're in Sydney's CBD, out in Parramatta, up on the Northern Beaches or anywhere else in Australia, tell us what's slowing down your cash flow and we'll tell you honestly whether automation is the fix.
