Enterprise search and workspace AI respect existing permissions, which exposes oversharing. Before enabling them, audit shared drives and workspaces for sensitive files open to everyone, and confirm the tool honours permissions from each connected system in real time.

Platform fit

Choose AI within the tool where your work already lives. Switching project management platforms to get better AI is rarely worth the migration cost unless the current tool is failing for other reasons too.

Agents and automation limits

Agents that edit pages or update tasks in bulk need undo, version history and logs. Check how many AI actions each plan includes, what happens when limits are reached and whether admins can restrict agent features.

Data analysis safeguards

Tools that analyse spreadsheets, such as Julius, are useful for quick insights but can misread data. Check that they show the code or steps used, and keep identifiable customer data out unless the plan's terms suit it.

Data hosting options

Hosting choices vary widely. monday.com offers an Australian region, while Notion's residency options do not currently include Australia. Confirm where both content and AI processing happen for your plan.

What Australian businesses should check

Workspaces often hold HR records, client files and contracts, so enabling AI features is a Privacy Act 1988 decision as much as a productivity one. Check whether AI requests are sent to third-party model providers overseas, even when your content is stored in Australia. Under the Privacy Act changes passed in 2024, privacy policies must explain significant automated decisions from 10 December 2026, which may capture AI-driven task allocation or performance tracking. Public sector teams should follow the Digital Transformation Agency's policy for responsible use of AI in government. Most platforms bill in US dollars, with local support through partners rather than Australian offices.
