n8n Employee Onboarding Workflow for Google Workspace and Slack
This n8n workflow turns one HR form into a complete onboarding run. It creates the new starter's Google Workspace account with a temporary password, writes a first-week checklist to Google Sheets, emails the new starter their first-week details, briefs the manager and reminds them the day before the start date. When the person joins Slack with their work email, they are added to their team channel.

What this workflow does
Onboarding in a small or mid-sized business is usually a list in someone's head. The account gets created late, the laptop is not ready, payroll forms are missed and the manager realises on Monday morning that someone is starting. Each step is small, but missing one makes a poor first impression and creates follow-up work for HR and IT.
This template is for HR coordinators, office managers and IT admins who run Google Workspace and Slack. HR enters the starter's details once in a protected n8n form and the workflow handles the repetitive parts: account creation, the checklist, welcome and manager emails and channel access. People still do the human parts, like meeting the new starter and walking them through the role.

How it works, step by step

New starter form
HR fills in an n8n form protected by a login: name, personal email, job title, team, manager's email and start date.

Prepare the details
A Code node builds the username (first.last), the work email on your domain, a random temporary password and the start date and reminder time in your timezone.

Create the Google Workspace account
The Google Workspace Admin node creates the user on your domain with the temporary password and forces a password change at first sign-in.

Build the checklist
A Code node creates one row per onboarding task, such as equipment, TFN and super forms, the Fair Work Information Statement, safety induction and check-ins, each with an owner and due date.

Add the checklist to Google Sheets
Google Sheets appends the rows to your onboarding tracker so HR, IT and the manager can tick tasks off. An Aggregate node then combines the rows back into one item.

Welcome the new starter
Gmail sends a welcome email to the starter's personal address with the start time, their new work email and what to bring for payroll. The password is not included.

Brief and remind the manager
The manager gets the account details, the temporary password to hand over in person and their tasks. A Wait node then pauses until the day before the start date and sends a reminder.

Add them to Slack
A separate Slack Trigger fires when someone joins your workspace, and the Slack node invites them to the team channel you choose.
What you need
Google Workspace super admin or user admin
An admin account that can create users, connected through the Google Workspace Admin OAuth2 credential with the Admin SDK enabled.
Google Sheets
An onboarding tracker sheet with the columns Starter, Task, Owner, Due and Status.
Gmail
An HR mailbox to send the welcome, briefing and reminder emails.
Slack app
A Slack app with event subscriptions for team_join and permission to invite users to channels, with the bot added to the team channel.
Basic auth credential
A username and password that protect the HR form, since it collects personal details.
Set it up in n8n

Import the workflow and open 'New Starter Form'. Create a basic auth credential so only HR can use the form, and edit the Team options.

In 'Prepare New Starter Details', set DOMAIN to your Google Workspace domain. Change the timezone in workflow Settings if you are not on Sydney time.

Connect the Google Workspace Admin node with an admin account. Enable the Admin SDK API in the Google Cloud project behind your credential.

Edit the task list in 'Build First-Week Checklist' to match your onboarding process, then create the tracker sheet and select it in 'Add Checklist to Tracker'.

Connect Gmail to the three email nodes and adjust the wording, start time and what to bring.

Create a Slack app with the team_join event pointed at the Slack Trigger's webhook URL, add the bot to your team channel and paste the channel ID into 'Add to Team Channel'.

Make sure Slack lets people with your work email domain join the workspace, or invite new starters from Slack admin.

Run a test with a dummy starter, check the account, sheet rows and emails, then delete the test user in the Google Admin console.
Ways to customise it

- +Add an offboarding version that suspends the account and removes Slack access on the last day.
For Australian businesses
Every new employee must receive the Fair Work Information Statement, and casuals also need the Casual Employment Information Statement, so both sit in the checklist. Collect the TFN declaration and the super choice form early so payroll is ready for the first pay run. Under the Privacy Act 1988, the employee records exemption covers handling of employee records by a current or former employer for purposes directly related to the employment, but it does not cover candidates or contractors, and it does not remove obligations under tax, super and workplace laws. Keep personal details out of execution logs where you can and limit who can see the tracker. Start dates and reminders use the workflow timezone; Perth and Brisbane teams should change it.

Frequently asked questions
Is it safe to create passwords in a workflow?
The workflow generates a random temporary password, sends it only to the manager and forces a change at first sign-in. For stronger control, turn off saving successful execution data for this workflow or switch to sign-in through your identity provider.
Why is Slack handled by a separate trigger?
Inviting someone to a Slack workspace needs admin APIs that most plans do not offer. The practical pattern is for the starter to join with their work email, then the team_join event adds them to the right channel automatically.
Can I use Microsoft 365 instead of Google Workspace?
Yes, with changes. Replace the Google Workspace Admin node with Microsoft Entra ID nodes to create the user, swap Gmail for Outlook and use Excel or SharePoint lists for the checklist.
Does the employee records exemption mean privacy law does not apply?
Not entirely. It covers an employer's handling of current and former employee records for employment purposes. It does not cover job candidates, contractors or disclosures to unrelated third parties, so keep the form and tracker restricted.
What if the start date is tomorrow?
The Wait node is set to the day before the start date. If that time has already passed, n8n continues straight away and the manager gets the reminder immediately after the briefing email.
