n8n vs Zapier: which is right for your business?

Choose Zapier if you want the fastest way for non-technical staff to connect common business apps, with a very large integration catalogue and nothing to host. Choose n8n if you need data to stay in Australia, want complex or high-volume workflows without per-step charges, or have someone technical who can self-host. n8n bills per workflow execution and can run on your own Australian infrastructure; Zapier bills per task and is cloud-only in the United States. Zapier is easier to start with, while n8n gives more control and usually costs less as volume grows.

Choose n8n if…

  • →Client or patient data must stay on Australian infrastructure
  • →Your workflows have many steps or run at high volume
  • →You want AI agents that can call local or self-hosted models
  • →You have a developer or IT provider who can maintain a self-hosted server
  • →You need custom code and HTTP calls to internal systems

Choose Zapier if…

  • →Non-technical staff need to build and fix their own automations
  • →You rely on niche SaaS apps that only Zapier connects to out of the box
  • →You do not want to manage servers, updates or backups
  • →You need simple automations running today with minimal setup

For Australian businesses

n8n is one of the few automation platforms you can run entirely onshore: self-host it in AWS Sydney or Melbourne, Azure Australia East or with a local provider, and workflow data stays in Australia. That helps with Privacy Act 1988 obligations and client contracts that restrict offshore processing. You then own patching, backups and security. Zapier processes data in the United States, so APP 8 cross-border disclosure applies and you should tell customers in your privacy policy. Both bill in US dollars or euros rather than Australian dollars.

Our verdict

Zapier wins on ease of use and breadth of ready-made integrations, which makes it the sensible default for small teams without technical staff. n8n wins on cost at volume, workflow flexibility and data control, and its self-hosted option is a strong answer for Australian organisations that need data kept onshore. If you have technical support and handle sensitive information, n8n self-hosted in an Australian region is hard to beat. If speed and simplicity matter most, start with Zapier.

Frequently asked questions

Is n8n really free?

The self-hosted Community Edition costs nothing in licence fees, but you pay for the server and the time to maintain, secure and update it. Some features, such as SSO and advanced version control, require paid plans. The licence also restricts offering n8n itself as a commercial service.

Can Zapier store data in Australia?

No. Zapier is hosted in the United States and does not offer a regional hosting choice. If you need automation data kept onshore, a self-hosted platform such as n8n running in an Australian cloud region is the usual alternative.

How hard is it to self-host n8n?

A basic Docker install takes an experienced administrator an hour or two. Production use needs more: a managed database, HTTPS, backups, monitoring, regular updates and access controls. Many small businesses ask an IT provider to set it up and maintain it.

Which is better for AI agents?

n8n gives more control, letting agents use any model, including local ones, and custom tools. Zapier Agents are quicker to set up and can act across its large app catalogue. Choose based on whether control or convenience matters more.
